We are seeking a highly organised and proactive Executive Assistant to provide comprehensive support to our executive leadership. This role is crucial in ensuring the smooth and efficient operation of the executive office, acting as a key point of contact and facilitator for internal and external stakeholders.

You will possess exceptional communication, organisational, and problem-solving skills, with a proven ability to manage complex schedules and confidential information with utmost discretion.

What You'll Do

  • Manage and maintain complex calendars, scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
  • Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professionalism.
  • Coordinate and arrange domestic and international travel, including flights, accommodation, visas, and itineraries.
  • Act as a gatekeeper and liaison, screening calls, emails, and visitors, and directing them appropriately.
  • Conduct research, compile data, and prepare reports or presentations as needed for executive decision-making.
  • Manage expense reports, invoices, and other financial documentation, ensuring timely submission and accuracy.
  • Organise and prepare for board meetings, executive retreats, and other key events, including logistics and materials.
  • Anticipate needs and proactively address potential issues, offering solutions and support to the executive team.
  • Foster strong working relationships with internal departments and external partners.

Who We're Looking For

  • Proven experience as an Executive Assistant, preferably supporting C-suite executives or founders in a fast-paced environment.
  • Exceptional organisational and time management skills, with the ability to prioritise tasks and manage multiple projects simultaneously.
  • Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
  • High level of discretion and confidentiality in handling sensitive information.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant productivity tools.
  • Adaptability and a proactive approach to problem-solving in a dynamic startup or high-growth setting.
  • Strong interpersonal skills and the ability to collaborate effectively across different teams and levels.
  • Experience with cost tracking and budget management is a plus.
  • Demonstrated ability to work independently and as part of a team.
  • A keen understanding of commercial acumen and business operations.
